Welcome to the Deep South Camp & Retreat Center website (the “Site”). The Site is operated by The Seventh Day Baptist Deep South Camp & Retreat Center, Inc. (DSCRC), a Florida not-for-profit corporation, located at 325 N. Putnam Grove Road, Oak Hill, FL 32759.
By accessing or using this Site, submitting an inquiry, or requesting to reserve DSCRC facilities, you agree to these Terms & Conditions (“Terms”).

1) About DSCRC and Intended Users
DSCRC is a ministry of the South Atlantic Association of Seventh Day Baptist Churches. Use or rental of DSCRC facilities is available to the South Atlantic Seventh Day Baptist Association and Seventh Day Baptist Churches/Associations, and may also be made available to Evangelical Christian organizations or church groups that generally agree with the DSCRC Statement of Belief.​

2) Website Use
You agree to use the Site only for lawful purposes and in a way that does not infringe the rights of others or restrict their use and enjoyment of the Site.
You may not:

Attempt to gain unauthorized access to the Site, servers, or systems
-
Disrupt or damage the Site (including by introducing malware)
-
Use the Site to transmit spam, fraudulent, or unlawful content

3) Information on the Site (No Guarantee)
We try to keep information accurate and current, but the Site may contain errors or outdated information. DSCRC may update content, rates, photos, availability, and policies at any time without notice.

4) Inquiries and Reservation Requests
Submitting a contact form, inquiry, or rental application does not guarantee availability or approval.
Reservations are confirmed only when:

DSCRC approves the request, and
-
required deposits/fees are received, and
-
your rental agreement is completed (if applicable).

5) Facility Use: Approved Purposes
DSCRC property is intended for picnics, retreats, conferences, day camps, overnight camping, and church organization-sponsored events that comply with DSCRC’s focus and mission.
Fundraising: Money-raising functions are permitted only when proceeds benefit not-for-profit organizations and the DSCRC Board of Directors gives prior approval.

6) Payments, Security Deposit, and Returned Checks
Security deposit: A $300 security deposit is required.
Due date: The deposit is due 30 days before the reservation’s first day.
Payment methods: Payments are payable by check or Zelle.

Checks: Payable to “Deep South Camp and Retreat Center” (as directed on your agreement).
Check timing: Payment by check is accepted only if received three (3) weeks before the scheduled event.
Returned check fee: A $35 or 5% fee (whichever is greater) applies to checks not honored by the bank.

7) Cancellations and Termination
Cancellation by Lessee: A written cancellation request must be submitted to the DSCRC Site Manager at least one (1) week before the scheduled event. If cancelled at least one week prior, the security deposit is forfeited and no further charge is assessed.
If cancellation is requested less than one week before a scheduled overnight event, a $250 Property Use Charge is required.
Termination by DSCRC: DSCRC may terminate the lease, close the camp, and send guests home due to medical/natural emergencies, destructiveness, and/or failure to comply with rules and regulations. In medical/natural emergencies, a refund of unused rental time will be issued; in cases of destructiveness/noncompliance, no refund will be issued.
Termination by Lessee: Lessee may terminate the lease if DSCRC fails to provide a safe and usable facility.

8) Facility Rules and Conduct Requirements
When on DSCRC property, you and your group must follow DSCRC rules, posted signage, and directions from DSCRC staff.
Strict prohibitions include:

Alcohol and illegal drugs are strictly prohibited.
-
Smoking/vaping and the use or possession of tobacco products is strictly prohibited anywhere on DSCRC property (indoors or outdoors).

Firearms, weapons of any kind, and fireworks are prohibited.
-
Pets (including emotional support animals) are not permitted; service dogs are permitted with proper documentation.

Travel trailers and recreational vehicles containing waste facilities are not allowed.
Facilities care:
-
No alterations are allowed; no decorations may be affixed to walls, floors, or furniture.

No furniture or fixtures (including TVs, sofas, piano, etc.) may be moved without permission of the DSCRC Site Manager.

Lessee must enforce all applicable laws and ordinances of Volusia County, Florida, in addition to DSCRC rules.
Safety & supervision:
-
Lessee must maintain daily counts of guests/staff/visitors and provide sufficient adult supervision (18+ years) for children.

Care for accidents/illness is the responsibility of the Lessee; all accidents/illnesses must be reported to the DSCRC Site Manager.
Food service:
-
All food preparation is the responsibility of the Lessee, including bringing supplies like plates, cups, napkins, trash bags, dishcloths, and detergent.
-
Eating is permitted in the dining area and outdoors only; no food/eating in indoor sleeping areas.

9) Walkthroughs, Cleaning, Debris, and Damages
A walkthrough may be conducted up to 2 hours before the scheduled event and again upon departure to note discrepancies in writing.
If excessive debris/garbage/waste is not disposed of by Lessee, DSCRC will dispose of it and $75 per building will be withheld from the deposit; if cleanup costs exceed the security deposit, DSCRC will invoice the Lessee for the balance.
DSCRC will evaluate damages and invoice the Lessee for repair/replacement costs, including damages discovered after departure that were not noted during the walkthrough.

10) DSCRC Right of Entry
DSCRC and authorized local city/county health and safety personnel may enter the property for inspection and repair. DSCRC may also show facilities to prospective renters, signing in/out with the Lessee’s on-site representative.

11) Assumption of Risk (Outdoor Property)
DSCRC is a camp/retreat environment. Guests assume the normal risks associated with outdoor property use (uneven ground, wildlife, insects, weather, camp activities, etc.) and agree to follow safety guidelines.

12) Indemnification
Lessee agrees to indemnify and hold harmless DSCRC, its Trustees, Board of Directors, Site Manager, and related Seventh Day Baptist organizations from claims arising out of actions, omissions, or conditions created or maintained by Lessee or their guests, including personal property/equipment brought onto DSCRC property.

13) Intellectual Property
All Site content (text, photos, logos, designs, documents) is owned by DSCRC or used with permission and may not be copied, reproduced, or distributed without written permission, except for personal, non-commercial use in planning a DSCRC booking.

14) Privacy
Your use of the Site is also subject to our Privacy Policy: [Insert Privacy Policy Link].

15) Disclaimers and Limitation of Liability
The Site and its content are provided “as is.” To the fullest extent permitted by law, DSCRC disclaims warranties of any kind and is not liable for indirect, incidental, or consequential damages arising from Site use or inability to use the Site.

16) Governing Law
These Terms are governed by the laws of the State of Florida, and applicable Volusia County ordinances where relevant.
